Our Privacy Policy applies to all information that you provide to us and/or that we collect about you, either as part of a contributor, customer, supplier or collaborative relationship or as a user of our services, including when visiting our website. The overall legal framework for our processing of personal data is Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC and related regulations. In addition, the Act on supplementary provisions to the Regulation on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, Data Protection Act L 503.
Purpose of the processing of your personal data
Depending on whether you are a contributor, customer, job seeker, supplier or business partner with us, or use our website, we are obliged to process your personal data to such an extent that we can provide you with the services you request and that we can live up to the obligations we have as an organization. This applies when we administer your membership with us. It can also be when you support us financially, when you make purchases in our webshop, we buy services from you, collaborate with you or because you contact us yourself.
The personal data that we process about you
We collect the following information from you:
When you support the work of the Danish European Mission financially, we collect the following general personal data from you: Name, address, postal code, city, e-mail address if applicable, telephone if applicable, payment information (third party) and social security number, but only if you want tax deductions.
When you shop in the webshop, we collect the following general personal data from you: Name, address, postal code, city, e-mail address, telephone and payment information.
We do not collect any personal data about you.
How we process your personal data
Specifically, we use your personal data for several different purposes depending on whether you are a contributor, customer, supplier or partner of ours, or whether you are simply a user of our website.
If you are applying for a job with us, we use your personal data to:
- be able to make a qualified assessment of you
- be able to contact you
- be able to take references if needed
If you are a contributor with us, we use your personal data to be able to:
- send you thank you letters by post or digitally
- Manage and account for your gift
- send you magazine and newsletters
- be able to report your contribution to SKAT, so your contribution will appear on your tax return
If you receive magazines, e-news and/or newsletters from us without contributing financially, we use your personal data to be able to:
- send you magazine, e-news and/or newsletters
If you volunteer or participate in an event with us, we use your personal data to:
- be able to coordinate your activities
- be able to send a receipt for your registration to an event
- be able to send you material in connection with the event
If you are a customer with us, we use your personal data to:
- provide you with the functionality of our website, including our webshop
- answer any questions you may have and fulfill your requests
- be able to fulfill your orders
- Be able to manage the administration of the customer relationship with you
- be able to send you marketing material, provided that this is also in accordance with the marketing law applicable at any given time
If you are a supplier to us, we use your personal data to be able to:
- handle the administration of the supplier relationship with you;
If you are a business partner with us, we use your personal data to be able to:
- handle the administration of the working relationship with you;
Sharing your personal data
We may share your personal data with suppliers and business partners who assist us, for example, with the execution of your order, or who assist us with our IT operations, magazine publishing, hosting, etc. This means that we may share your information with, for example, NETS, service providers, our technical support and our bank.
Storage and deletion of your personal data
We store your personal data according to the rules below:
If you are a contributor with us, we will store your personal data
- during the time you are affiliated with our organization
- and up to five years after the current year from your last donation according to the Accounting Act.
- Personal data about bank reg. no. and account number will be deleted 13 months after your payment service agreement has been terminated with NETS, cf. the Danish Payments Act (Act 652 of June 8, 2017), which requires that the Danish European Mission must be able to document that an agreement has been entered into up to 13 months after the termination of the agreement.
If you are a job applicant with us, we will store your personal data
- for up to 6 months from your last application date.
If you volunteer with us, we will store your personal data
- during the time you are affiliated with our organization
- Attendee lists for public meetings etc. are stored for up to 2 years.
If you are a customer with us, we will store your personal data
- for up to 5 years after the current year according to the Bookkeeping Act
- Notification of webshop purchases is stored for up to 2 years.
Your rights
Insights
You have the right to access the personal data that we process about you. By contacting us (see contact details above), you can request access to the personal data we have registered about you, including the purposes for which the data was collected. We will comply with your access request as soon as possible.
Correction and deletion
You have the right to request rectification, additional processing, erasure or blocking of the personal data we process about you. We will comply with your request as soon as possible, to the extent necessary. If - for any reason - we cannot fulfill your request, we will contact you.
Limitation of treatment
You have - under certain circumstances - the right to restrict the processing of your personal data. Please contact us if you wish to restrict the processing of your personal data.
Data portability
You have the right to receive your personal data (only information about yourself that you have provided to us) in a structured, commonly used and machine-readable format (data portability). Please contact us if you want to exercise the option of data portability.
Right of objection
You have the right to ask us not to process your personal data where the processing is based on Article 6(1)(e) (task in the public interest or exercise of official authority) or Article 6(1)(f) (legitimate interest). The extent to which we process your data for such purposes is described in this policy. You can exercise the right to object at any time by contacting us. There may be conditions or restrictions attached to the exercise of the above rights. It is therefore not certain that you will have the right to data portability, for example, in a specific case - it depends on the specific circumstances of the processing activity in question.
Possible consequences of not providing personal data
If you are required to provide us with information about yourself, this will be stated where we collect the information. If you do not want to provide the personal data we ask for, it may mean that we cannot provide you with the services you request, fulfill your orders, register you as a contributor, etc.
Sharing your data with recipients outside the EU/EEA
We have business partners located outside the EU/EEA. Therefore, we may share your personal data with recipients in countries outside the EU/EEA. However, this presupposes that:
- the country or international organization has an adequate level of protection as determined by the European Commission
- standard data protection clauses adopted by the European Commission have been concluded between us and the relevant recipient of your Personal Data
- the recipient in question is certified in accordance with Article 42 of the GDPR; or
- the recipient in question has a set of approved Binding Corporate Rules (Binding Corporate Rules).
It may also happen that we request your consent for transfer to recipients located outside the EU/EEA or that this is necessary as a result of an agreement with you or measures taken in connection with an agreement with you. These exceptions to transfer are covered by Article 49 of the GDPR.
You can at any time obtain information about or, if applicable, a copy of the necessary guarantees that form the basis for the transfer of Personal Data to recipients outside the EU/EEA or, if exceptions as mentioned in Article 49 of the Personal Data Regulation are used, which exceptions are used as a basis for any transfer
